Since 2021, Arineo’s Power Platform team has been supporting SPAR ICS, the IT company of the SPAR Austria Group, through consulting, development, and long-term support services. During this time, Arineo’s experts have created, among other things, two central Power Apps that have become indispensable in everyday work at SPAR: the Project Portfolio Management App for managing several hundred projects a year, and the Business Role Model App, which enables organizational management to manage roles centrally and the IT authorization architecture.
The range of Power Platform solutions developed by Arineo for SPAR also includes an HR application for managing employees’ personal development and the E-Store Roll-out app, which IT staff use to manage store modernization. In short, the strategic decision to use the Power Platform is paying off for Austria’s largest private employer.
Don't be afraid of complexity! SPAR Austria uses the Power Platform to manage demanding business processes - for example, internal project management or the control of business roles for around 94,000 employees.
To manage IT projects – from planning through to completion – SPAR Austria’s IT unit uses a Canvas app: the Project Portfolio Management (PPM) app. This tool helps employees create project proposals. The Project Management Office team reviews applications using its own dedicated model-driven app, approves them as necessary, and defines which resources have access to which projects.
In the overview, project managers can view rolling-wave and monthly plans on a daily basis. In addition, project costs are fed back daily from the SAP system and can be used for reporting in Power BI. Status reports are also available to all project stakeholders in a connected Canvas app. Here, they can see an overview of the forecast and the actual project status, actual project costs over the entire duration, plausibility checks, project milestones, risk assessments, scope and quality indicators, and project activities. Project dependencies are also visualized transparently.
The Business Role Model (BRM) app, developed by the Arineo team, enables organizational and IT management to centrally manage the IT authorization architecture.
In this model-driven app, employees manage around 900 business roles and 1,000 technical roles and assign them to the company’s 700 or so OrgSets. In addition to its parameters, each of these main objects contains a change log that transparently documents all changes to the object at the data record level.
In the background, approximately 100 Power Automate Flows manage the required processes, some of which also communicate with an IGA system.
To assign authorizations to individual users within the group of around 94,000 employees, the app includes two interfaces to identity access management systems: one to Oracle and one to Saviynt. These allow employees to request approximately 2,500 authorizations across 55 different systems with ease.
The next step is to integrate a segregation of duty (SoD) concept directly into the app. This will check which roles can be assigned together and which role combinations cause conflicts.
The Arineo team provides ongoing support to SPAR ICS and the specialist departments in the long-term development and support of their systems. Plans include integrating Microsoft Teams into the PPM app and replacing the current document management system (DMS) with Microsoft SharePoint.
