To efficiently meet the company’s legal obligations, the compliance department has been relying on the Microsoft Power Platform for its internal control system (ICS) since mid-2020.

Practical apps enable the group's approximately 8,000 employees to easily implement, track, and manage group policies in their daily work.

Certification Letter: Compliance made easy

As a company listed on the capital market, ProSiebenSat.1 Media SE is subject to legal requirements in the area of corporate management that must be monitored, controlled, and documented by the group.

Therefore, around 140 managers of the group and its subsidiaries are required to provide quarterly reports with business-critical information to the internal control system. Until the introduction of the Microsoft Power Platform, this involved a very high manual effort.

The "Certification Letter" process, based on Power Automate and DocuSign and created by Arineo experts, simplifies this process immensely. After an automated query, the completed and legally signed documents are read using Power Automate.

A standardized workflow transfers this information to an access-protected SharePoint library, where ICS staff can view all information for further processing, transparently and independent of time and location. Standard views and customized filters further simplify and optimize processing.

Citizen developer for more innovation

Thanks to the Microsoft Low-Code Platform, a community of citizen developers – employees with a lot of process know-how but little knowledge of IT development – will now be able to create up to four times as many apps as was previously possible with the help of professional developers.

ProSiebenSat.1 relies on motivated employees who want to drive the digitalization of their specialist area and learn about IT. Citizen developers are part of a company-wide process automation team.

Its members support each other creating apps, sharing best practices, and promoting internal exchange between the various departments in the company. This dynamic and agile community has already created over 30 apps and workflows for 2,500 users and continues to evolve steadily.

Less manual effort, more compliance

Marcel Wiesner, junior controller at the Seven.One Entertainment Group, has digitized and automated the confirmation processes in the ICS. This process previously involved a great deal of manual effort.

The process automation team accompanied Marcel and provided him with the necessary IT know-how. With just one click, he can now trigger and track different queries for the entire Seven.One Entertainment Group. This eliminates a large number of repetitive tasks. In addition, response rates in all ICS processes have increased and response times have decreased.

Ultimately, this has increased the overall exchange and awareness of compliance requirements throughout the whole group.

Security has the highest priority

Philipp Slupina, Director of Process Automation at ProSiebenSat.1 Tech Solutions, sees the fusion of legal security and digitalization as a major developmental step forward.

The Center of Excellence (CoE) provides both citizen developers and professional developers with a foundation on which they can freely design their apps in a compliant and secure manner.

Together with the Arineo experts, ProSiebenSat.1 Tech Solution manages the application lifecycle management (ALM) and the various licenses in the CoE. Standard dashboards can be used to monitor and manage usage, access rights, data flows, and environments.
