Our low-code Power App for supplier evaluation is based on the Microsoft Power Platform. The Power App uses a central model to manage data and processes, providing a user-friendly interface that is based on this model.

The evaluation process is directly linked to the ERP system – Microsoft Dynamics 365 Finance & Supply Chain Management – and accesses the relevant data in real time. Power Automate Flows and artificial intelligence are used to analyze and evaluate the predefined evaluation criteria.

The solution in detail

The Power App interface displays the recorded supplier evaluations. The evaluation logic is based on so-called evaluation schemes, which contain various evaluation nodes, including adherence to deadlines, delivery reliability, price reliability, quality, documentation, and service criteria. Both the evaluation nodes and the associated categories can be flexibly adapted to the specific requirements.

A new supplier evaluation is then created, beginning with the definition of the time period to be evaluated. In the next step, the evaluation scheme and the suppliers to be evaluated are selected. All supplier data stored in Microsoft Dynamics 365 Finance & Supply Chain Management can be accessed in real time.

A Power-Automat Flow is triggered in the background, automatically assigning the evaluation nodes based on the standard data stored.

In addition to automation, manual evaluation of individual criteria is also possible. For example, in the criteria menu – such as adherence to deadlines – a manual assessment can be made using school grades or other evaluation parameters.

The supplier evaluation is then initiated. All criteria linked to a Power Automate flow are automatically evaluated. The user interface automatically updates the scores and the ABC classification.

In the “Delivery reliability” detail view, the Power Automate Flow automatically displays the number of orders from Microsoft Dynamics 365 in the defined period and compares them with the requested and confirmed delivery dates. Exceptions are also taken into account: in this example, a confirmed delivery date of up to two days before or three days after the requested date is considered acceptable.

In addition, an AI generates a specific recommendation for action to improve delivery reliability, which in this case was classified as a “C”.

Once the evaluation is complete, the result can be transferred to Microsoft Dynamics 365 Finance & Supply Chain Management with a mouse click.

The complete supplier evaluation – including the breakdown of scores for each evaluation node (adherence to deadlines, delivery reliability, price stability, quality, documentation, and service) – is stored in the supplier’s data record. The evaluation can therefore be taken into account in subsequent processes, such as tenders or framework agreements.
