Biogen GmbH is one of the leading biotechnology companies in the field of neuroscience – and relies on Arineo’s expertise for the digitalization of internal processes. In a long-standing partnership, solutions based on Microsoft 365 and the Power Platform were jointly developed and tailored precisely to the needs of the specialist departments. From the introduction of efficient automation to individual apps and tools, Arineo supports Biogen in simplifying workflows, promoting collaboration and complying with the highest security standards. The result is a digital working environment that takes the pressure off employees and secures the future viability of the global company.
In times of skilled worker shortages, the systematic development of employees is of essential importance. This is not just about furthering employees’ skills but also about retaining them through empathetic, personalized leadership. For the account management team at Biogen GmbH, it was clear that this also required suitable technology with highly automated processes. The idea of a Power App that provides guidance and support in the development and coaching process was born.
As our Power Platform competence team has already been supporting the leading global technology company from Munich in its strategic digitalization with the Microsoft Power Platform, they was also entrusted with implementing the talent management app. Our experts created the Power App with an intuitive user interface, set up the underlying SQL database, and created automation for exporting the data as a printable PDF in Power Automate.
In the new Coaching Power app, the approximately 55 sales employees at Biogen GmbH systematically, transparently, and confidentially record their content of their development meetings and the agreed targets together with their manager.
In the event of a change of supervisor, area managers should be able to decide for themselves whether to share data from previous meetings with their new point of contact.
It should not only be possible to prepare the content of the meetings via the Power App, but also to plan them practically. The app should be able to send meeting requests to the participants’ Outlook calendars.
The tool should be optimized for iPads to ensure easy access during the meeting. Additionally, it should offer the possibility to synchronize meeting content for offline use and to print it.

In the new Power App for guidance and support in the development and coaching process, all area managers are assigned to their disciplinary managers, the district managers. An initial meeting is scheduled via the tool. In preparation for this meeting, both parties can enter their assessments of development needs in eight predefined competency areas. Employees’ self-assessments are only visible to the manager if the employees explicitly approve them. During the meeting, the participants can compare their self-assessment and the assessment of others, define areas for improvement, and agree on further steps together.
Follow-up meetings can be scheduled directly or as required via the app – the app then automatically sends invitations to the Outlook calendars of those involved.
The app also serves as a guide for the coaching tandems. This ensures that all relevant areas of expertise are addressed. Both participants can easily add notes directly in the iPad-optimized app – either manually or via voice input. All app content can be synchronized for offline use, downloaded as a PDF, and printed.
In the event of a change of supervisor, the affected area managers must explicitly release the content of past meetings to their new manager, if they wish to do so. Confidential information is not automatically passed on.
With the new coaching tool based on Microsoft Power Apps and Microsoft Power Automate, sales employees can easily take responsibility for their own training. The Power App structures the meeting with the manager and helps both parties to strengthen their relationship of trust. This is the foundation for a strategically developed, successful team.

Biogen GmbH in Munich is Biogen’s largest national subsidiary outside the USA. Due to the Group’s structure, it is essential that new technical solutions can be easily integrated into the existing architecture.
The sometimes time-consuming testing and approval processes for new applications in large companies can be significantly accelerated when based on Microsoft tools that have already been decided as internal company standards.

The partnership collaboration with Arineo began in 2019. In the meantime, several projects have been deployed with Biogen Germany, including a coaching tool, as well as various SharePoint and PowerApps projects.
In addition to the technical expertise, the specialist departments at Biogen also value Arineo’s process and solution-oriented approach.
As Microsoft Teams has been defined as the global central platform for collaboration at Biogen, many employees have also been benefiting from the integration of other apps into the familiar Teams environment.
The further development of Microsoft products is also being followed with great interest in Munich. What was once hard to imagine, despite rising usage since 2018, became reality in 2021: a virtual conference organised almost exclusively via Microsoft Teams with several hundred participants.
Particularly when it comes to the user group in the field, ease of use and application on smartphones or tablets are crucial. The apps developed together with Arineo are therefore strongly geared towards the end user and achieve a high level of acceptance among colleagues in the field. This gives our teams more time to take care of our customers’ needs.”
